Reporting to the Art Department Manager, the Administrative Assistant is responsible for handling general office tasks and maintaining production calendars for the Art team. This is a full-time non-exempt position based out of our Creative Office in Northborough, MA. The ideal candidate will have outstanding interpersonal skills, and the ability to record and organize large quantities of information from multiple sources.  



  • Create and maintain production calendars and workflows for Creative team 
  • Provide administrative and organization support for the Art department & MA Office 
  • Track development of products during their lifecycle from license to shelf  
  • Ensure timely responses to factory emails (Summary of email communications needed to be addressed) 
  • Notify Art Department Manager and Art Director of upcoming deadlines and other milestones  
  • Keep Documentation of all artist project lists 
  • Manage product samples sent from factory and maintain digital and physical archive 
  • Communicate relevant product development updates with other departments 
  • Maintains Product Information, i.e. SKU, Names, Descriptions, Studio, and Artist info 
  • Under the direction of the Art Department Manager, monitor and record project costs 
  • Assist Art Department Manager in creating PowerPoint presentations for Sales team and/or licensors that highlight new and existing products 
  • Takes notes for all Product Dev Meetings and sends recap 
  • Assist with Travel Planning, and booking for Art Department 
  • Track and Document Expenses for Art Department 
  • Ordering and Maintaining Supplies 
  • Contribute to team effort by accomplishing related tasks as needed 



  • 2+ years experience working in administration or similar field 
  • Proficiency in MS Office Suite including Excel and PowerPoint 
  • Must be detail-oriented, organized and possess strong follow-up skills 
  • Strong written and verbal communication skills 
  • Ability to collaborate with team members and as well as work independently 
  • Ability to work well under pressure and deliver results in a fast-paced environment 
  • Knowledge of commercial manufacturing processes a plus 
  • Ability to bend and/or reach or sit for up to 3 hours at a time 
  • Ability to occasionally lift/and or move up to 20 lbs 
  • Must have adequate vision (with corrective lenses if needed) to clearly view computer screen

$20 to $24 per hour
